Preparation: Understanding BCP

In our audio FAQ, we explain that business continuity planning is the planned continuation of your business under certain conditions, such as loss of key personnel.  Disaster recovery planning is the planned recovery from natural or man-made disasters (specific events).  A business continuity plan (BCP) is more proactive and involves developing a comprehensive plan that keeps the "day to day" business operation functioning during extended business disruptions.

BCP methodology is scalable for an organization of any size or complexity.  A BCP for a small organization could include a printed manual stored safely away from the primary work location, containing the names and phone numbers for crisis management staff, general staff members, clients and vendors, along with the location of the offsite data backup, storage media, copies of insurance contracts and other critical information necessary for organizational survival.

Implementation: Developing Your Plan

The primary mistake made by many companies in developing a BCP, is that many concentrate too heavily on data loss.  A solid business continuity plan (BCP) includes planning for non-IT related aspects such as personnel, facilities, crisis communication and reputation protection.  For example, what would happen if you lost a key partner? Are you grooming someone from inside the company to assume a key executive’s duties, in the case of a loss?  A BCP may be part of an organizational learning that can reduce operational risk and increase employee safety.

Depending upon the size and scope of your business and existing QMS, there can be several steps involved in developing a BCP, such as conducting a business impact analysis (BIA) and threat analysis, defining impact scenarios, documentation, assigning risk owners, solution design, implementation, testing (review and rehearse), communication to employees and planned maintenance (monitoring).

Business continuity planning is something that you can add when doing disaster recovery planning, so that duplication of effort is not required.  BIZPHYX assists clients with the development of these plans and manuals.
